Terms and Conditions of Hire

1. The Agreement

This Rental Agreement (“the Agreement”) is made between Campervan Capers (“we”, “us”, or “the Owner”) and the person hiring the vehicle (“you” or “the Renter”).

By confirming a booking, you confirm that you have read, understood, and agree to be bound by these Terms & Conditions.

Your rights under this Agreement may not be transferred to any third party without prior written consent from Campervan Capers.

Only the named driver(s) listed on the rental agreement may drive the vehicle. If anyone else drives the vehicle, the insurance may be invalid.

Unless otherwise stated, the hire charge includes 100 miles per night. Any additional mileage will be charged at 45p per mile.

If the vehicle is returned late, a charge of £75 per hour (or part thereof) will apply until the vehicle is returned. If required, we may extend insurance cover, and the cost of this will be payable by you.

A security deposit of up to £1,000 will be required before hire to cover the insurance excess and any additional charges.

2. Rental Period, Cancellation & Termination

The Agreement automatically ends at the end of the agreed rental period. No notice is required. The hire does not automatically extend if the vehicle is returned late.

The vehicle must be collected from and returned to the agreed location at the agreed times.

Cancellation by the Renter

If you cancel your booking, the following charges apply:

More than 6 weeks before hire – Booking deposit only

4–6 weeks before hire – 40% of total hire cost

2–4 weeks before hire – 60% of total hire cost

14 days or less – 80% of total hire cost

2 days or no-show – 100% of total hire cost

Cancellation by Us

We reserve the right to cancel the Agreement if suitable insurance cover is unavailable (for example, due to changes in insurance terms or failure to meet driver requirements).

If cancellation is due to reasons beyond your control, we will refund the full hire cost.
If cancellation is due to your failure to meet insurance requirements (e.g., invalid licence, insufficient documentation, more than 6 penalty points), no refund will be given.

We will not release the vehicle until full payment has been received and all hire conditions have been met.

If we are unable to provide the vehicle due to circumstances beyond our control (including mechanical failure where repair or replacement is not reasonably possible), we are released from our obligation to provide the hire.

3. Vehicle Condition & Return

The vehicle will be provided in good working order. Minor cosmetic marks (scratches, dents, stone chips) that do not affect use are not considered defects.

A full inspection will take place at handover, with photographs taken and a written condition report completed. This forms part of the Agreement.

The vehicle must be returned by 11:00am on the final day of hire. Late returns will be charged at £75 per hour.

The vehicle must be returned clean, internally and externally. If cleaning is required, the cost will be deducted from your deposit.

We may deduct any outstanding charges from the security deposit.

4. Vehicle Use & Driver Responsibilities

The vehicle may be used within the UK and selected European countries only. Insurance is not valid outside approved territories.

The vehicle must only be used as a touring motorhome and must not be used for illegal, commercial, or unauthorised purposes.

Drivers must:

  • Hold a valid driving licence recognised in approved countries
  • Have no more than 6 penalty points (no more than 3 at any one time)
  • Not have been banned or had a licence revoked
  • Have had no insurance claims in the last 2 years

You must take reasonable care of the vehicle at all times, including:

  • Parking safely and securely
  • Protecting the vehicle during extreme weather
  • Monitoring warning lights and faults
  • Checking oil and tyre pressures on longer journeys

No modifications or alterations may be made to the vehicle.

You are responsible for all fines, tolls, penalties, or offences incurred during the hire period.

If damage occurs due to misuse or negligence, you are responsible for all associated costs. We may charge £30 per hour for administration or repair-related time.

5. Fuel, Fluids & Minor Repairs

You are responsible for fuel and consumables during the hire period, including oil, AdBlue, and washer fluid.

The vehicle must be returned with a full tank of fuel. If not, fuel will be charged at current rates plus a £35 refuelling fee.

Essential repairs under £100 may be carried out without prior approval if required for roadworthiness. Receipts must be provided for reimbursement. Labour time is not reimbursable.

6. Technical Faults & Non-Accident Damage

If a fault occurs that significantly affects use and was not caused by you, either party may terminate the Agreement.

Where applicable, a hire fee reduction of 1/24 of the daily rate per hour may apply until the issue is resolved.

You must notify us immediately of any faults. Failure to do so may result in liability for additional damage.

Damage caused by misuse or negligence remains your responsibility.

7. Accidents & Damage

In the event of an accident, fire, theft, or damage (including wildlife damage), you must:

  • Contact the police and obtain a reference number
  • Notify us immediately
  • Provide full written details, including a sketch if required

Details required include:

  • Vehicle registration numbers
  • Insurance details
  • Driver and witness details

Insurance claims will be handled by us where applicable.

A charge of up to £1,000 per incident may be taken from your deposit to cover the insurance excess. This applies per incident, not per hire.

8. Liability

We do not guarantee that the vehicle is suitable for your intended purpose.

Our liability is limited to what is required by law. We are not liable for indirect or consequential losses unless caused by gross negligence or wilful misconduct.

Nothing in this Agreement limits liability for death, personal injury, fraud, or statutory rights.

9. Governing Law

This Agreement is governed by English law.
If any part of this Agreement is found to be invalid, the remaining terms remain enforceable.
